At first, there was not enough of it and now we have too much. Yes, the data surrounds us. And the one who can use it and get the necessary information for the business strategy has a great competitive advantage. The rest of us should at least learn to organize it.
I will speak for myself, even though I will believe I speak the mind of most of you. I am one of those people who have lots of interests and I like having things that inspire me around me. Therefore, I don’t hesitate to save both free and paid e-books, interesting studies, case studies, articles, images, infographics, movies, music, etc. Mostly with the vision of looking at all this in more detail when I have MORE TIME. And as you probably know, I’ll look just at the fraction of that. The computer hard disk is getting full and I promise myself to see and sort out the saved files with the arrival of every season. There I always have such a motivational phrase which of course doesn’t work. For example: there will be bad weather in winter and long evenings, I will go through. Or I will do spring cleaning for my computer …
Do you recognize yourself? Don’t worry, I’ve overcome myself to advise you.
Maybe you have unfortunately tried or heard from your friends that it isn’t good to have everything stored just on the disk. If something happens to your computer, you have lost everything in most cases. Data can sometimes be restored, but it’s not worth the nerves and money. So make sure you do regular backups.
Also find duplicates. There are lots of little programs that will find file duplicates on your computer. Just deleting will make space on your disk and it will clear the overall notebook content.
Unless you’ve already done it, create folders for images then a document folder (ie everything that ends with doc) and a PDF folder (unless e-books are in mobi or epub format – they are most often in PDF). It’ll be easier for you to sort all documents into folders. And your orientation there will be faster.
You can upload some documents to Cloud or Google Drive. You will be able to access them from anywhere. As for movies and large files, get an external hard drive such as LaCie (but there definitely exist different ones too). You can access it within a network from any place in the house and not only that. Thanks to a password, you can work this way remotly for instance from a train, cafeteria, cottage.
This situation is a bit more complicated. You constantly need to have a lot of documents, presentations and tables at hand. The best thing to do is to create them in Google documents, where you always find them (assuming you’re online) and you can even share and work on them together.
Use the online Trello application to store super ideas, inspiration and useful links. It’s used as a place for your notice boards. Each may have a different theme. It can also include your TO DO list so you keep track of your work activities.
You can store all documents in folders on Google Drive, Dropbox or Cloud so they won’t take space on the disk.
